DIRECTOR, Finance & Administration

Denham Wolf Real Estate Services is seeking an experienced business management professional in the role of Director, Finance & Administration (DFA) to oversee its core business functions, and manage the internal Finance, Administration, and Marketing group.

The majority of the DFA’s responsibilities will focus on finance and related areas of business operations. Across all core business functions, the DFA is tasked with ensuring that the company establishes and maintains proper operational controls, operating and reporting procedures, and systems that support the employee experience.

The DFA role is full-time, New York-based, and includes both in-person and remote components. The position reports to Denham Wolf’s President & CEO. The DFA has two internal direct reports (Senior Operations Associate and Head of Marketing) and manages multiple vendor relationships, including a financial services firm.


Key responsibilities of the DFA include:


Finance

The DFA will coordinate with Denham Wolf’s Principals, project leads, and external vendors on the following:

  • Research and collaboratively implement improved methods of service delivery, risk mitigation, loss prevention, and quality control.
  • Lead the collection of financial and legal information for ad-hoc reporting, as may be required when engaging new clients or new vendors.
  • Oversee preparation and administration of monthly invoices and milestones or transaction-based invoices.
  • Collaborate with the outside accounting and bookkeeping firm (accountant) and department leadership in the collection of receivables.
  • In collaboration with the accountant, review vendor invoices and anticipated payables, for approval by the President & CEO. Serve as the primary point of contact for vendors when resolving billing discrepancies.
  • In collaboration with the accountant, prepare recurring financial reports. These include long-term forecasts, and annual expense budgets.
  • Oversee the preparation of semi-monthly payroll.
  • Serve as the primary contact for a professional employer organization (PEO) on topics related to payroll and benefits administration.
  • Serve as the primary point of contact for a 401(k)-plan administrator and broker, including annual reporting on behalf of the plan sponsor.
  • Oversee the firm’s insurance coverage, lead the review and renewal of policies, serve as a primary point of contact for insurance providers and brokers.
  • Collaborate with external legal counsel, including immigration and labor attorneys as needed.
  • Support company and staff in maintaining appropriate licensure for their services.
  • Support leadership in ensuring compliance with City and State specific labor laws and regulations.
  • Manage new client intake in the firm’s billing, time tracking, and related systems.


Human Resources (HR), Information Technology (IT), and Facilities Management (FM)

The DFA will lead HR, IT and FM with support from the Senior Operations Associate.

  • Work closely with the Senior Operations Associate and relevant external vendors in regularly reviewing existing standards.
  • Facilitate related decision-making with senior leadership and lead related change management efforts across the firm.
  • Collaborate with Senior Operations Associate and leadership on employee recruitment, onboarding, performance management, and transition processes.
  • Maintain confidential employee files related to compensation, immigration status, employment verification, and performance management.
  • Manage the contractual and financial relationships between Denham Wolf and external vendors and regularly review vendor efficacy, negotiate fees, facilitate related decision-making with Denham Wolf’s senior leadership, and identify new vendors as needed.


Marketing

The DFA is expected to support systems-level quality control and provide operational guidance to Denham Wolf’s marketing team. Candidates for DFA with the experience necessary to provide strategic guidance for the Marketing team will receive priority consideration.


Requirements

Ideal candidates for the position of DFA will possess the following experience and characteristics:

  • A passion for serving the nonprofit community and for partnering with others to make a positive societal impact is essential.
  • The tenacity and resourcefulness necessary for creative problem solving and consensus-building, particularly in the context of a growing organization.
  • A minimum of seven (7) years working in a business management capacity within a professional services firm. Candidates with experience within small and growing businesses, specifically commercial real estate services or AEC services firm(s), will receive priority consideration.
  • At least three (3) years managing a team of two or more people is preferred. The ability to build and lead a cohesive, inspired team is essential.
  • Professional experience managing external vendors with high organizational impact, such as accountants and managed IT service providers.
  • Past professional experience with launching and maintaining new organizational policies, software, and systems.
  • Advanced fluency with financial reporting in a QuickBooks Online environment. Candidates who also have experience in BQE Core will receive priority consideration.
  • Advanced fluency with payroll and benefits administration, preferably using ADP TotalSource.
  • Past professional experience with preparing a wide range of professional services contracts and compensation agreements.
  • Excellent organization and time management skills, including the ability to independently manage and appropriately delegate multiple tasks with competing deadlines.
  • Experience as both a user and an administrator of Microsoft 365 applications in a cloud-based environment (including Outlook, Word, Excel, PowerPoint, and OneDrive) is strongly preferred.
  • Past professional experience with Salesforce is a significant plus, as is experience with CoStar, PropertyShark, CompStak, ZoLa, and/or other platforms for collecting and managing commercial real estate information.


Compensation

Compensation for all full-time professionals at Denham Wolf is salary-based and is commensurate with experience. The base salary for this position is $150,000 - $200,000. Performance bonuses and other compensation incentives are available and subject to meeting and exceeding defined performance metrics.
